Debit cards
This page explains how to manage the Visa debit card of a registration (pause, unpause, replace, link or close a card) and how to order new debit cards for your program.
Only for programs with Visa debit cards
This page only applies to programs that pay through the Visa debit card FSP (Intersolve Visa).
- The Debit cards tab of a registration only appears when the registration receives its payments through the Visa debit card FSP.
- The Debit Cards tab in Monitoring only appears when the program has the Visa debit card FSP and your role has the permission to see card orders.
Who can perform actions on this page?
- View the Debit cards tab of a registration: CVA Manager, CVA Officer, Finance Manager, Finance Officer, View and View without PII.
- Pause a card: CVA Manager, CVA Officer, Finance Manager and Finance Officer.
- Unpause a card: CVA Manager, Finance Manager and Finance Officer.
- Link, replace or close a card, and see or order cards in Monitoring: none of the standard roles. These actions need specific permissions that the 121 support team can add to a role when your program needs them.
Open the debit card of a registration¶
- Go to the Registrations page.
- Click on the registration.
- Click on the Debit cards tab.
The tab shows the current card of the registration: Serial number, Card status, Current balance, the amount spent this month, Issued on and Last used. If there is more information about the card status, it is shown under Explanation. Earlier cards of the registration are listed below the current card, each one under Old card:.
The buttons depend on the card status
The portal only shows the actions that are possible for the current card. For example, Unpause card only appears when the card is paused, and Close card does not appear for a card that is already closed or expired. Pause card, Unpause card, Replace card and Close card also only appear if your role allows the action.
Pause or unpause a card¶
To pause a card:
- Open the Debit cards tab of the registration.
- Click Pause card.
- Check the card number in the pop-up window and click Pause card.
- A message is sent to the registration about this update.
To unpause a paused card:
- Open the Debit cards tab of the registration.
- Click Unpause card.
- Check the card number in the pop-up window and click Unpause card.
- A message is sent to the registration about this update.
Replace a card¶
How you replace a card depends on the Card distribution by mail setting of the Visa debit card FSP of your program.
If cards are sent by mail:
- Open the Debit cards tab of the registration.
- Click Replace card.
- Read the pop-up window: the current card will be blocked and a new card will be issued.
- Click Request new card.
- A message is sent to the registration about this update.
If cards are handed over on site:
- Open the Debit cards tab of the registration.
- Click Replace card. The Replace visa card pop-up window opens.
- Scan the barcode on the back of the new card you hand over to the registration, or type the 19-digit Serial number found below the barcode.
- Click Replace card.
Link a card to a registration¶
You can only link a card when cards are handed over on site (the Card distribution by mail setting is off) and the registration has no debit card yet. The tab then shows No debit cards found.
- Open the Debit cards tab of the registration.
- Click Link visa card.
- Scan the barcode on the back of the card you hand over to the registration, or type the 19-digit Serial number found below the barcode.
- Click Link card.
Card number not accepted
If the card number is not found, or is already linked to another registration, the portal shows an error. Check the number, or use a different card and inform your supervisor.
Close a card¶
Closing a card is permanent. The funds on the card are booked back and the card is not replaced.
- Open the Debit cards tab of the registration.
- Click Close card.
- Read the warning in the pop-up window. This action cannot be undone.
- Click Close card.
Closed cards are listed in the Refunded debit cards export on the Payments page. See Payment reporting.
Order debit cards¶
You can order new debit cards for your program from the Monitoring page. The cards are sent to the address you fill in, for example your branch office.
