Who can perform actions on this page ?
Program Admin and Program Team Manager can perform actions in this page. CVA Manager can view the program team. Learn more about Roles & Permissions
View your program team¶
- Enter the desired program and go to Settings page;
- In the settings menu, select Users > Program team.
Set up your program team¶
After creating the program, you must set up your program team.
- Enter the desired program and go to Settings page;
- In the settings menu, select Users > Program team;
- On the right side of your screen, click Add user to team;
- A window opens, you can search for the user by typing their email address in the Select a user field;
- Can't find the user? Their user account needs to be created and added to the 121 platform first.;
- In the second field Select role(s), you can now select and assign one or more role(s) from the dropdown;
- If scope is enabled in your program, fill in Assign scope*. Leave it empty to give the user access to all registrations;
- Click Add to team.
Note
You can add, remove, and edit users at any time while managing your program. The program's status and action history will remain unchanged, continuing to track users who made changes, even after they have been removed.
Review regularly your Team access
We recommend that the Program Admin reviews the program team on a regular basis to ensure that it is up to date and that only those who are working in the program have access. Any users who no longer work with the program or who have left the organization should be removed from the program team to ensure data protection.
Add a team member¶
- Enter the desired program and go to Settings page;
- In the settings menu, select Users > Program team;
- On the right side of your screen, click Add user to team;
- Select a user;
- Select the assigned role(s);
- If scope is enabled in your program, fill in Assign scope*. Leave it empty to give the user access to all registrations;
- Click Add to team.
Users who are already team members
Users who are already part of the team are not shown in the Select a user list. If you want to update their role, check the section Change assigned roles and permissions.
Users must be added to each individual program they are assigned to
Adding a user to the program team grants them access to this specific program, but it does not automatically assign them to ALL programs. Each user must be manually assigned to individual programs by the Program Admin or the Program Team Manager. Without program assignments, they may see a blank page upon login. Additionally, you can assign each user a specific role within the separate programs they are added to.
Remove a team member¶
Team members should be removed from the program team if they no longer work with the program or they have left the organization to ensure data protection.
- Enter the desired program and go to Settings page,
- In the settings menu, select Users > Program team,
- Click on the 3 dots on the right end of the user row,
- Select Remove user and confirm.
Note
A user was removed by mistake? Do not worry! The action history and logs remain unchanged. If you have the permission, you can add the user back to the team. If not, contact your Program Admin to help you.
Change assigned roles and permissions¶
- Enter the desired program and go to Settings page,
- In the settings menu, select Users > Program team,
- Click on the 3 dots on the right end of the user row,
- Select Edit
- In the Select role(s) field, Select or deselect the roles you want to assign to the user.
- If scope is enabled in your program, update Assign scope* if needed.
- Click Save changes to confirm.
Note
You cannot change your own roles. Ask another Program Admin or Program Team Manager to do this.
